Privacy Policy

This Privacy Policy explains how K6Pickleball (ABN 12 608 517 973) ("K6 Pickleball", "we", "us") collects, uses, stores, and discloses personal information through K6 Pickleball Session Manager ("K6PSM") and K6 Pickleball Tournament Manager ("K6PTM") (together, the "Apps"). We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Information we collect

Account information — name, email address, and (if you sign in with Google) your Google profile name/email. Collected when you or a club admin creates your account.

Profile information — skill rating, gender (optional), club affiliation. You or your club admin provide this.

Session and tournament data — check-ins, round assignments, scores, standings, bracket positions, match results. Generated as you participate in or an admin manages a session/tournament.

Billing information — if you or your club subscribes to admin features, payment is processed by Stripe. We do not receive or store your full card number; Stripe provides us with limited billing metadata (subscription status, renewal date, a Stripe customer/subscription reference) needed to manage your subscription.

Technical information — basic device/browser information and app usage logs, collected automatically to keep the Apps working reliably and securely (e.g. login timestamps for security auditing).

2. How we use this information

We use personal information to:

• Create and manage your account and club membership.
• Run sessions and tournaments: generate rounds/brackets, record scores, display standings.
• Manage subscriptions, trials, and billing.
• Communicate with you about your account, sessions/tournaments you're part of, or changes to the Apps.
• Maintain security (e.g. detecting suspicious sign-in activity) and prevent misuse.
• Improve the Apps based on aggregate usage patterns.

We do not sell your personal information, and we do not use it for third-party advertising.

3. Who we share information with

Club admins and tournament directors for clubs you're a member of can see your profile, rating, and session/tournament participation, as needed to run sessions/tournaments. Superusers (platform administrators) can see account information across clubs for account management and support purposes.

Other players in a session/tournament can see your name, rating, and results as part of normal participation (rosters, brackets, live scoreboards) — this is inherent to how the Apps work and can't be turned off while participating.

Service providers we use to operate the Apps:

• Google Firebase (Firestore, Authentication, Cloud Functions, Hosting) — hosts our database, handles sign-in, and runs our backend logic. Firebase is operated by Google; data is stored on Google Cloud infrastructure.
• Stripe — processes subscription payments. Stripe's own privacy policy governs the card details you enter directly with them.

We don't share personal information with any other third party except:

• Where required by law (e.g. a valid legal request).
• To protect the rights, safety, or property of K6 Pickleball, our users, or the public.
• With your consent.

4. Where your data is stored

Data is stored on Google Firebase infrastructure. Firebase may store and process data in data centers located outside Australia (Google operates a global infrastructure). By using the Apps, you consent to this cross-border storage and processing, which is necessary for the Apps to function.

5. Data retention

We retain account and session/tournament data for as long as your account is active, and for a reasonable period afterward in case you or your club wants to reactivate or export it. You can request deletion at any time (see Section 7).

6. Security

We take reasonable steps to protect personal information from misuse, loss, and unauthorized access, including:

• Firestore security rules that restrict who can read or write which data, based on account role and club membership.
• Encrypted connections (HTTPS/TLS) for all data in transit.
• No storage of full payment card details on our own systems — that's handled entirely by Stripe.

No system is completely secure, and we can't guarantee absolute security, but we take this seriously and will notify affected users in the event of a data breach as required by the Notifiable Data Breaches scheme under the Privacy Act.

7. Your rights

Under the Australian Privacy Principles, you have the right to:

• Access the personal information we hold about you.
• Request correction of inaccurate information.
• Request deletion of your account and associated personal information, subject to reasonable exceptions (e.g. data we're required to retain for legal/tax reasons, or historical session/tournament records a club reasonably needs to keep for its own records).
• Ask how your information is being used.

8. Children's privacy

The Apps aren't directed at children under 16, and we don't knowingly collect personal information from children under 16 without parental/guardian involvement via a club or coach. If you believe a child's information has been collected inappropriately, contact us and we'll address it promptly.

9. Cookies and similar technologies

The Apps use essential browser storage (e.g. to keep you signed in) required for the Apps to function. We don't currently use third-party advertising or tracking cookies.

10. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be notified in-app or by email before they take effect.

11. Complaints

If you have a concern about how we've handled your personal information, contact us first at [email protected] so we can try to resolve it directly. If you're not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
